Creating PDF Files from Microsoft Outlook and Lotus Notes

PDF Files can be created when working in Microsoft Outlook or IBM Lotus Notes.  You can create PDF files:

  • From non-PDF file attachments in mail messages, to be saved on the local computer.

  • From non-PDF files on your local computer, to be attached to the current mail message.

  • From one or more mailing items, to be saved as an archive on the local computer.

The remainder of this topic deals mainly with archiving mails and provides links to other archiving topics.

 

PDF Professional provides a add-ins for MS Outlook 2003-2007 and Lotus Notes (version 8.5) for creating PDF files from selected mail items or whole folders. The features are accessible from the Nuance PDF toolbar of the Outlook main window or from the Nuance PDF toolbar or ribbon of the open message window, and from corresponding locations in Lotus Notes.

 

The toolbars provide the following buttons:
 

Archive Folder: Archives all items of the selected folder (with our without its subfolders). The button is available in the Outlook main window toolbar only.

Archive Mail: Creates one or more PDF files from the selected mails in the main Outlook window or from a single message opened in the message window.

Settings: Provides a dialog box to control the archiving parameters.

To create PDF files from the Microsoft Outlook and Lotus Notes toolbar

  1. Click the PDF Converter button archive settings From Microsoft Outlook and Lotus Notes Settings button for selecting Mail archiving settings in the Settings dialog box.

  2. Click PDF Converter button archive letter From Microsoft Outlook and Lotus Notes Archive Mail or PDF Converter button archive folder From Microsoft Outlook and Lotus Notes Archive Folder according to your needs.

To archive letters from an Outlook 2002 and Lotus Notes message

  1. Click the PDF Converter button archive settings From Microsoft Outlook and Lotus Notes Settings button.

  2. In the Settings dialog box, choose a PDF version and decide how to handle mail attachments, if any. Close the dialog box.

  3. Click the PDF Converter button archive letter From Microsoft Outlook and Lotus Notes Archive Mail button.

  4. In the Save As dialog box, accept or change the default target folder for archiving and click OK. The name of the created PDF file is generated from the subject of the mail message. The default target folder is My Documents > PDF Favorites > Outlook Archive. Under Vista: Documents > PDF Favorites > Outlook Archive.
     

  5. Click Save.

    Archiving process starts and when the process is finished, the PDF output file (with attachments, if any) is saved in the target folder.

To archive letters from an Outlook 2007 message  

  1. Click the Nuance PDF tab.

  2. Follow steps from 1 to 5 described above.
